Wedding Co-ordinator v Wedding Planner

It wasn’t long after I started my business that I soon realised there is little knowledge amongst people about what a wedding planner actually does. You may think the name gives it away, however I found people asking me questions that made me doubt the fact that people realise a wedding planner does plan the whole wedding, every detail, if indeed that’s what you hire them to do.

So where has this confusion come from? Well firstly many hotels and other popular wedding venues have in-house wedding co-ordinators so couples usually think they have someone to look after all the details. A good wedding co-ordinator at a wedding venue may ensure you haven’t missed anything in terms of planning your wedding and give you the recommended supplier list for their venue, however they wouldn’t contact suppliers or liaise with them on your behalf or research suppliers that really suit your personality, personal style and budget. Another reason why there may be some confusion is that a lot of wedding planners (myself included), offer on the day co-ordination! As part of my job I love to meet with venues, find out exactly what they offer their couples and how we can best work together, this also helps me as a wedding planner recommend the right venue for my clients. 

Wedding Co-ordinator

A wedding co-ordinator can be employed directly by the venue you have chosen to have your wedding reception or be hired in by you directly to co-ordinate all the suppliers in the run up to the wedding, set-up your wedding venue and ensure everything runs smoothly on the day. If your venue has in-house wedding co-ordinators, find out who will be co-ordinating the wedding on the day, as sometimes it can be a different person then the person you have been dealing with throughout the planning stages. 

Remember a venue wedding co-ordinator will not:

  • Deal with suppliers directly or contact them on your behalf 

  • Get involved with the styling and design of your wedding, bringing the look of the wedding together with the team of suppliers 

  • Help you plan and organise your wedding or be on hand to answer any questions, deal with any issues that may occur in the run up to your wedding day

  • Deal with guest list management

  • Budget management


Why you would need to hire in a wedding co-ordinator?

If you are getting married in a dry-hire venue, marquee, tipi, or in the middle of a field or forest, then chances are there isn’t a wedding co-ordinator on hand. Many wedding planners offer on-the-day co-ordination for this very reason. I believe many work the same way, but within my on-the-day co-ordination package I start working with the couple 6-8 weeks before the wedding day, finalising details, liaise with suppliers and produce a schedule for the day. I will be there on the day to set up the venue and be on hand to ensure everything runs smoothly, allowing you to relax and enjoy your day. 

Wedding Planner 

A wedding planner will help you with every aspect of your wedding day and bring it all together. Depending on when you bring your planner onboard they can help you with finding the perfect venue, help you with the creative side of bringing your vision to life and styling your wedding day, source suppliers, liaise with suppliers directly, help you with guest list management, budget management and be there throughout to answer questions, deal with any issues that might crop up. They will also be there on the day to pull everything together and ensure your day runs smoothly. Your wedding planner is likely to become a major part of your life for a few months, with the average wedding taking 200 hours to plan they will keep you up dated every step of the way. 

Some people worry that wedding planners will take over their day but this couldn’t be further from the truth. I take the time to get to know you, understand your personalities and personal style and how you want to remember your special day, therefore planning and recommending suppliers to suit you. We take away the tasks from you that you probably don’t really have time to do and will be there with you every step of the way to answer questions, be a sounding board and provide expert advice and guidance. 

If you have a wedding co-ordinator with the venue you have chosen and have hired a wedding planner to help you plan your wedding then they will work together as a team to ensure you have the wedding day you have always dreamt about.
